Hellohire Inc. offers certain hiring services to Employers where Hellohire Inc. acts as a data processor under applicable data protection laws, and processes the personal data it collects from and about you only on the Employer’s behalf, subject to our Terms. https://www.tryhellohire.com/terms-of-service/ This applies to our Candidate Import Service, where we help Employers contact, interview and manage job applications and other services offerings that help Employers manage the hiring process. If you have any questions about Hellohire Inc.’s processing of your personal data as part of these services, or to exercise any rights you may have with respect to such information, please contact the Employer to which you applied.

Privacy laws in Canada generally define “personal information” as any information about an identifiable individual, which includes information that can be used on its own or with other information to identify, contact, or locate a single person. 

Any changes to this Privacy Policy will become effective on the “Last Updated” date indicated above. By using the Site and providing information to us, you will have accepted the amended Privacy Policy. If Hellohire Inc. is going to use Personal Data collected through the Site in a manner materially different from that stated at the time of collection, then Hellohire Inc. will notify users via email and/or by posting a notice on the Site for 30 days prior to such use or by other means as required by law.

INFORMATION WE COLLECT

We receive, collect and store any information you enter on our website or provide us in any other way, such as your name, mailing address, e-mail address, telephone number, user name or other similar identifiers, and any other identifier we may use to contact you online or offline (“Personal Information”). We collect and store your login credentials and associated account actions, including when your account is created, when you log in, and any changes to your account. We also collect and store the answers given in relation to, as well as scheduling of or participation in an interview, and disposition data. You are under no obligation to provide any such data. If you choose to withhold requested information, you may not be able to access all of the contents and services available on the Hellohire Inc. Website.

In addition, we automatically collect certain information about your device including information about your web browser, IP address, operating system and platform, time zone, some of the cookies that are installed on your device, the equipment you use to access the Website and usage details. We collect certain non-personal information that does not directly or indirectly reveal your identity or directly relate to an identified individual, such as demographic information or statistical or aggregated information. 

STORAGE

Hellohire Inc. Uses Amazon Web Services (AWS) that provides hosting, data storage and other services pursuant to standard terms and conditions that may be non-negotiable. AWS informed us or the general public that they apply security measures they consider adequate for the protection of information within their system, or they have a general reputation for applying such measures. However, Hellohire Inc. Will not be liable (to the fullest extent permitted by law) for any damages that may result from the misuse of any information, including Personal Data, by these companies.

Hellohire Inc. stores your Personal Data until it is no longer necessary to provide our services, or until you ask us to delete your Personal Data. We may also be required to retain certain information in order to comply with local laws. If you wish to delete your Personal Data, you should submit a request to privacy@tryhellohire.com in accordance with your rights as noted below.

HOW WE COLLECT INFORMATION

We use different methods to collect your information, including through:

  • Direct interactions with you when you provide it to us, for example, by filling in forms while opening your account with Hellohire Inc. or corresponding with us by phone, email, or otherwise.
  • Automated technologies or interactions, as you navigate through the Hellohire Inc. Website. Information collected automatically may include usage details, IP addresses, and information collected through cookies, web beacons, and other tracking technologies.
  • Information that you provide by filling in forms on the Hellohire Inc. Website.
  • Records and copies of your correspondence (including email addresses), if you contact us.
  • Details of your usage of the Hellohire Inc. Website, including traffic data, location data, logs, and other communication data and the resources that you access and use on the Hellohire Inc. Website.

USE OF YOUR INFORMATION

Hellohire Inc. Inc. Uses the collected data to provide and maintain our services, notify you about changes to the service, allow you to participate in interactive features of our services, to provide customer support, to gather analysis or valuable information so that we can improve our service, to monitor the usage of our service, to detect, prevent and address technical issues, to fulfill any other purpose for which you provide it, to carry out our obligations and enforce our rights arising from any contracts entered into between you and Hellohire Inc., including for billing and collections, to provide you with news, special offers and general information about other goods, services and events which we offer that are similar to those that you have already purchased or enquired about unless you have opted not to receive such information.

YOUR RIGHTS

The GDPR grants you certain rights in connection with us processing your personal data. The application of each of the rights to specific personal data may depend e.g. on the legal basis of processing. You may exercise your rights with us by contacting us at privacy@tryhellohire.com.

The data subject right include:

Right of access to personal data – you have the right to obtain from us confirmation as to whether or not your personal data are being processed, and, where that is the case, get access to the personal data and information on how we process your data;

Right to rectification – you have the right to obtain from us without undue delay the rectification of inaccurate personal data that concern you. Taking into account the purposes of the processing, you have the right to have incomplete personal data completed, including by means of providing a supplementary statement;

Right to erasure (“right to be forgotten”) – you have the right to obtain from us the erasure of personal data that concern you without undue delay where one of the following grounds applies: (i) the personal data are no longer necessary in relation to the purposes for which they were collected or otherwise processed; (ii) you withdrawn your consent if it served as legal grounds for personal data processing; (iii) you exercised the right to object and there are no overriding legitimate grounds for the processing; (iv) the personal data have been unlawfully processed; (v) the personal data have to be erased for compliance with a legal obligation to which we are subject;

Right to restriction of processing – you have the right to obtain from us restriction of processing where one of the following applies: (i) the accuracy of the personal data is contested by you, for a period enabling us to verify the accuracy of the personal data; (ii) the processing is unlawful and you oppose the erasure of the personal data and request the restriction of their use instead; (iii) we no longer need the personal data for the purposes of the processing, but they are required by you for the establishment, exercise or defense of legal claims; (iv) you have objected to processing based on our legitimate interest, pending the verification whether the our legitimate grounds override your interests. Restriction of processing means that such personal data will, with the exception of storage, only be processed with your consent or for the establishment, exercise or defense of legal claims or for the protection of the rights of another natural or legal person or for reasons of important public interest of the locations of which you are using our services;

Right to object to processing – you have a right to object against us processing your personal data in cases where such processing is based on our legitimate interest. We will stop processing your personal data unless we demonstrate compelling legitimate grounds for the processing which override your interests, rights and freedoms or unless we need to process them for the establishment, exercise or defense of legal claims. If you object to processing by us of your data for marketing purposes, we will cease such processing immediately;

Right to data portability – in case the processing is carried out by automated means, the personal data was provided to us by you and the legal grounds for processing is either your consent or necessity to provide services, you will have the right to receive the personal data concerning you, in a structured, commonly used and machine-readable format. At your request, we will transfer such data to another controller if technically feasible. 

To protect the integrity of your Personal Data, we will attempt to verify your identity through the email address or telephone number associated with your use of our site prior to fulfilling your request. We reserve the right to deny a request where we are unable to satisfactorily verify your identity. We will also deny requests made by others on your behalf if we are unable to verify that the individual making the request is authorized to act on your behalf. 

Hellohire Inc. is not responsible for Personal Data you provide directly to an Employer, and are unable to accept a data request for Personal Data we do not control. If you have already submitted an application to an employer, or met with an employer and provided Personal Data, please contact the respective employer directly to learn more about the data subject rights available to you.

RETENTION OF DATA

Hellohire Inc. Will retain your Personal Data only for as long as is necessary for the purposes set out in this Privacy Policy. We will retain and use your Personal Data to the extent necessary to comply with our legal obligations, resolve disputes, and enforce our legal agreements and policies. 

SHARING YOUR INFORMATION

We may share your personal data with the following persons or entities:

  1. Amazon Web Services, Inc. (AWS) that acts as our data processor and provides hosting, data storage and cloud-related services. AWS will process your personal data in: a) GDPR – where the legal framework for personal data protection has been considered equal to Canada in terms of relevant protections; b) USA – only if relevant mechanisms are in place, including standard contractual clauses and adequate technical and organizational data protection measures.
  2. Employers – individual ‘job seeker’ profiles will not be available to view by other employers. The job seeker needs to register for an interview or hiring event before the employer will be able to access their profile. We will be processing your personal data on behalf of specific employers that you choose to get in touch with.
  3. Providers of website analytics solutions – we may share data with entities such as analytics and search engine providers that assist us with website improvement and optimization. 
  4. Public authorities – in case we required to do so by law.

Hellohire Inc. does not share your personal data with third parties for advertising purposes or for monetary gain. 

Hellohire Inc. may disclose Personal Information under certain circumstances if required to do so by law or in response to valid requests by public authorities or if we or our subsidiaries are involved in a merger, acquisition or asset sale.

MINOR PERSONAL INFORMATION

Hellohire Inc.’s services are not intended for use by children under the age of thirteen (13). Hellohire Inc. Does not knowingly collect personally identifiable information from Children under 13. If you become aware that a Child has provided us with Personal Data, please contact Hellohire Inc. So that appropriate measures to remove that information from our servers.
